Club Officer Training (COT) is a key responsibility for districts. ToastHost provides tools to manage training events, track participation, and report completion.

COT Training Overview

What is COT?

Club Officer Training is provided by districts to help club officers succeed in their roles. Toastmasters International requires officers to complete training twice per year:

  • Round 1: July-August (for incoming officers)
  • Round 2: November-February (mid-year reinforcement)

Training Requirements

Each officer should complete training for their specific role:

  • President
  • VP Education
  • VP Membership
  • VP Public Relations
  • Secretary
  • Treasurer
  • Sergeant at Arms

Reporting to TI

Districts report COT completion to Toastmasters International, which counts toward club Distinguished Club Program (DCP) goals.


COT Workflow in ToastHost

1. Create Training Event

Create an event with:

  • Event name and date
  • Location (in-person or virtual)
  • Registration options

2. Set Up Sessions

Add sessions for each officer role:

  • Session timing
  • Facilitator assignment
  • Capacity limits

3. Register Officers

Officers register for sessions:

  • Self-registration
  • Officer registration by VPE
  • Walk-in registration

4. Track Attendance

Record attendance at each session:

  • Mark attendees present
  • Track completion by role
  • Note any issues

5. Report Completion

Generate reports for:

  • Internal district records
  • TI submission
  • Club notifications

Tips for COT Coordinators

  • Schedule training well in advance
  • Offer multiple dates/times for accessibility
  • Consider hybrid (in-person + virtual) options
  • Send reminders before training events
  • Follow up with clubs that have low completion
