General Questions¶
What is ToastHost?¶
ToastHost is a club management platform for Toastmasters clubs. It provides tools for meeting management, member tracking, online payments, club websites, and more.
How does ToastHost work?¶
ToastHost gives your club a single online home. Officers manage members, meetings, roles, and payments from one place, while members sign up for meeting roles, vote, and track their Pathways progress. Every club also gets a public website so guests and prospective members can find you, see upcoming meetings, and get in touch. To get started, create an account, then find your club or register a new one.
What does ToastHost cost?¶
ToastHost costs £7.99 per month per club, and starts with a free one-month trial so clubs can explore every feature. No credit card is required to start the trial. See Club subscription renewal for how billing works after the trial.
Why isn't ToastHost free?¶
Running Toastmasters meetings, Pathways projects, and club administration well takes significant, ongoing engineering effort to keep the platform reliable, friendly, and up to date. A modest, transparent subscription means we never have to ask for donations or run ads, and we can keep maintaining and improving the platform as the Toastmasters community evolves.
Who is building ToastHost?¶
A team of passionate Toastmasters. Rory Graves (DTM, Grosvenor Square Speakers) started ToastHost. Florian Bay (DTM, past District 91 Director) has supported it from the beginning, and Tanin Rojanapiansatith (President, Grosvenor Square Speakers) joined the project in 2025.
Are there any clubs using ToastHost right now?¶
Yes. Clubs such as London Olympians and Experience French, along with many more across the UK, use ToastHost today. They've helped us polish core features like renewal automation and meeting role signups.
Is ToastHost affiliated with Toastmasters International?¶
ToastHost is an independent platform designed to support Toastmasters clubs. It was created and is run by Toastmasters to help other Toastmasters, but it is not officially affiliated with or endorsed by Toastmasters International.

Account Questions¶
How do I create an account?¶
Visit toasthost.co.uk, click LOGIN/SIGNUP, and enter your email address. The system will guide you through the process - just verify your email with a one-time code. See Creating an Account for details.
How do I reset my password?¶
Use the "Forgot Password" link on the sign-in page. You'll receive an email with reset instructions.
Can I change my personal email address?¶
Contact your club officers or support to update the email address on your personal account. (To change your club's management email, see How do I update my club's email address? below.)
How do I delete my account?¶
Contact support to request account deletion. Note that some historical club data may be retained.
Club Questions¶
How do I add my club to ToastHost?¶
If you're a club officer, see Registering a Club. You'll need your club number and basic information.
How do I join an existing club?¶
Find your club and request access. A club officer will need to approve your request.
Who can be a club officer on ToastHost?¶
Officer permissions are assigned by existing officers or administrators. Typically this follows your actual Toastmasters club officer roles.
Can my club use ToastHost if we already use another system?¶
Yes! Many clubs migrate from other systems. See Data Import for importing existing data.
How do I update my club's email address?¶
Your club's primary (management) email address is held in Toastmasters International's records and is imported into ToastHost automatically by the nightly data sync. To change it, update the club email in Toastmasters International (Club Central); the new address will flow into ToastHost on the next sync. ToastHost doesn't edit this address directly, so it always matches your official TI record.
Does ToastHost host my club website, and do you provide a domain?¶
Yes - ToastHost hosts your club website for you. By default your site is available on a ToastHost subdomain (for example yourclub.tmclubs.org), with nothing for you to set up. If you'd prefer your own custom domain (for example yourclub.com), you register the domain yourself and point its DNS records at ToastHost; we then serve your site from it. In short: we always provide the hosting, and you can optionally bring your own domain.
Will there be fancier website templates?¶
ToastHost currently gives every club a clean, mobile-friendly website out of the box. More website templates and customization options are planned for later in 2026.
Meeting Questions¶
How do I sign up for a meeting role?¶
Open the meeting page and click on available roles to sign up. See Role Signup.
Can I sign up for multiple roles in one meeting?¶
This depends on your club's settings. Many clubs limit members to one role per meeting to give everyone opportunities.
How do I cancel a role signup?¶
Contact your VP Education or the meeting organizer to release a role you've signed up for.
How does voting work?¶
During the meeting, voting opens for Best Speaker, Best Evaluator, and Best Table Topics. See Voting.
How do meeting links work, and can I share a Zoom link?¶
Officers can add club links - such as a Zoom or Google Meet link, guest registration forms, new-member signup forms, or shared slides - from a meeting's Links tab. These links are club-wide: add them once and they appear on every meeting page for your club, including the public view, so members and guests can join online from any meeting. ToastHost doesn't have a separate Zoom integration; you simply paste your usual Zoom or Meet URL as a club link. See Meeting Links and Sharing Meetings.
Payment Questions¶
How does member renewal work?¶
ToastHost tracks each member's renewal status and paid-until date. The Membership page highlights Due Members so officers can follow up, send emailed payment links (paid online via Stripe), and mark members as Not Renewing to stop follow-ups. See Payment Tracking and Payment Collection.
How does the club's ToastHost subscription renew?¶
Your club's ToastHost subscription is £7.99/month, starting with a one-month free trial (no card required). After the trial it renews monthly until you choose to cancel. This subscription is separate from your members' own club dues (see member renewal above).
Can I get a refund?¶
Yes. Your first 30 days are a free trial with no credit card required. After that, if ToastHost isn't right for your club, email us at support@toasthost.co.uk within 30 days of your first payment and we'll give you a full refund.
How do online payments work?¶
ToastHost integrates with Stripe for secure card payments. Members receive a payment link and can pay directly online.
What payment methods are accepted?¶
Stripe accepts major credit and debit cards (Visa, Mastercard, American Express, etc.).
Are there fees for online payments?¶
Stripe charges a small percentage per transaction (varies by country). These fees may be absorbed by the club or passed to members - check with your treasurer.
Can I pay in installments?¶
This depends on your club's configuration. Ask your treasurer about payment options.
Pathways Questions¶
Does ToastHost replace Base Camp?¶
No. Base Camp is Toastmasters International's official education platform. ToastHost helps track your progress but doesn't replace Base Camp.
How do I update my pathway progress?¶
You can update progress in ToastHost, or your VP Education can update it based on your Base Camp records.
Can I track multiple pathways?¶
Yes, if you're working on multiple paths, ToastHost can track all of them.
Technical Questions¶
Which browsers are supported?¶
ToastHost works best with modern browsers: Chrome, Firefox, Safari, Edge. Keep your browser updated for the best experience.
Is there a mobile app?¶
ToastHost is a web application accessible on any device with a browser. There's no separate mobile app currently.
Can ToastHost integrate with other tools?¶
ToastHost integrates with Google Calendar and Stripe. You can also surface tools like Zoom or Google Meet via meeting links. Other integrations may be available - contact support for specific requests.
Is my data secure?¶
Yes. ToastHost uses encryption, secure hosting, and follows data protection best practices. Payment data is processed by Stripe, which is PCI-compliant. See Privacy & Data Protection for more.
Privacy & Data Protection¶
How does ToastHost handle data protection, and is it GDPR compliant?¶
ToastHost is run by Fieldmark Engineering Ltd, a company registered in the United Kingdom. We collect only the data needed to run the service (such as your name, email, club links, and the club information officers enter), we never sell it, and your data is held securely in the Amazon Cloud (EU) over encrypted (HTTPS) connections. Payments are processed by Stripe, which is PCI-compliant. We aim to be fully compliant with GDPR and UK data-protection law, and you have the usual rights to access, correct, or delete your data. District Questions¶
How does district access work?¶
District officers have access to district-level features for managing clubs, COT training, and district-wide analytics.
Can Area/Division Directors use ToastHost?¶
Yes, with appropriate permissions, Area and Division Directors can access relevant data for their geographic areas.
