EasySpeak Import

Overview

Import your club's historical EasySpeak meeting data into ToastHost so officers and members can see past speeches, roles, and Pathways progress in the current Education tools.

Before You Start

  • Set your club's Easy-Speak ID in Club Settings. ToastHost uses this to associate imported EasySpeak data with your club.
  • ToastHost must already have your club's EasySpeak meeting history loaded. When import data is available, officers see an EasySpeak Import Available banner in Education.
  • Only club officers and admins can review mappings and run the import.

If you do not see the banner after setting the Easy-Speak ID, contact your ToastHost administrator or support team to confirm that your EasySpeak history has been loaded.

Open The Import Review

  1. Sign in as a club officer.
  2. Open Education in your club workspace.
  3. In the EasySpeak Import Available banner, click View Import Status.

Review User Mappings

ToastHost groups EasySpeak users into four sections:

  • Exact matches: Safe matches that you can usually confirm in bulk.
  • Fuzzy matches: Similar names that need a quick officer check.
  • Guesses: Low-confidence matches that should be reviewed carefully.
  • Unmatched: No suggested ToastHost member; choose a member manually or skip the row.

The page saves progress automatically, so you can leave and come back later.

  1. The header reminds you that mapping review progress saves automatically.
  2. The summary row at the top shows overall review progress before you import anything.
  3. Exact matches are grouped together at the top of the review list.
  4. Lower-confidence sections such as Fuzzy matches appear separately so officers can review them carefully.

Review Tips

  • Confirm all exact matches first, then work through fuzzy and guessed matches.
  • Use Skip when the EasySpeak user should not be linked to any ToastHost member.
  • The Import button stays disabled until every mapping is either confirmed or skipped.

Finalize The Import

When there are no pending mappings and ToastHost still has pending EasySpeak meetings to import, the Ready to Import panel becomes actionable.

  2. The status chips show meeting and mapping counts, including how many meetings are still pending import.
  3. Import n meetings becomes available only after all mappings have been reviewed.

What Gets Imported

  • Historical speech records and speech titles
  • Historical role assignments and participation history
  • Pathway completions for speeches that match known projects
  • Pathway enrollments or enrollment updates when imported completions require them

If ToastHost cannot match some pathway names, the import can still complete and show a warning list for follow-up review.

After the import finishes, verify the results in these officer views:

It is worth checking a few members who had both speeches and roles in EasySpeak, plus any members who appeared in the import warnings.

Common Questions

Do officers upload an EasySpeak file here?

No. This page is for reviewing and finalizing EasySpeak data that has already been loaded into ToastHost.

Can I leave the page before finishing?

Yes. Mapping review progress saves automatically.

Why is the import button disabled?

Usually because one or more mappings are still pending review, or there are no pending EasySpeak meetings left to import.
