Overview

Track which officers have completed COT training and generate reports for TI submission.

How to Access

  1. Navigate to District > COT Training > Tracking
  2. View completion status across the district
  3. Filter and generate reports

Tracking Overview

Completion Dashboard

See district-wide status:

  • Total officers needing training
  • Completed count
  • Completion percentage
  • By-club breakdown

Club View

See each club's status:

  • Club name and number
  • Officers trained/total officers
  • Completion status by role
  • Outstanding requirements

Individual View

Track by officer:

  • Officer name and role
  • Training completed (yes/no)
  • Event attended
  • Completion date

Recording Attendance

At Events

During training events:

  1. Open the session attendance list
  2. Mark officers as present
  3. Note any partial attendance

Manual Entry

For training completed elsewhere:

  1. Find the officer
  2. Click Record Completion
  3. Enter completion details
  4. Save

Bulk Import

Import attendance from spreadsheets:

  1. Download attendance template
  2. Fill in attendance data
  3. Upload completed file
  4. Review and confirm

Reporting

Completion Reports

Generate reports showing:

  • Overall completion rate
  • By division/area
  • By club
  • By officer role

TI Submission Report

Create the report for Toastmasters International:

  1. Select reporting period (Round 1 or 2)
  2. Review completion data
  3. Generate TI-format report
  4. Submit through TI channels

Trend Reports

Track progress over time:

  • Comparison to previous rounds
  • Year-over-year trends
  • Improvement areas

Notifications

Reminders

Send reminders to:

  • Officers not yet trained
  • Clubs with low completion
  • Specific divisions/areas

Congratulations

Send notifications for:

  • Completion confirmation
  • Club achievement recognition

Tips

  • Track attendance at events immediately
  • Send reminders before training round closes
  • Verify data before TI submission
  • Recognize clubs with 100% completion

Common Questions

What counts as completing COT?

Attending the role-specific training session for the officer's position.

Can officers complete training online independently?

Check current TI guidelines. Some alternatives may be accepted.

What if data is incorrect?

Verify with event attendance records and correct in the system. Contact support if needed.
