Overview¶
Role assignments allow you to assign members to meeting roles, whether manually by officers or through member self-signup.

Assignment Methods¶
Officer Assignment¶
Officers can directly assign members:
- Open the meeting
- Navigate to roles/agenda
- Click on an unassigned role
- Select a member from the list
- Save the assignment
Member Self-Signup¶
Allow members to sign up themselves:
- Enable role signup in meeting settings
- Members see available roles on the meeting page
- They click to sign up
- Assignment is recorded automatically
Hybrid Approach¶
Many clubs use both:
- Officers assign key roles (Toastmaster, General Evaluator)
- Members self-signup for others (Timer, Table Topics participants)
Managing Assignments¶
Viewing Assignments¶
See all assignments at a glance:
- Role name
- Assigned member
- Assignment status (confirmed, pending, open)
Reassigning Roles¶
To change an assignment:
- Click on the assigned role
- Select "Reassign" or "Remove"
- Choose a new member or leave open
Sending Reminders¶
Remind assigned members:
- Select roles to remind
- Click "Send Reminders"
- Members receive email notifications
Evaluator Matching¶
When assigning evaluators:
- Review speaker list
- Match evaluators to speakers
- Consider experience levels
- Avoid conflicts (e.g., same person speaking and evaluating)
Tips¶
- Distribute roles fairly over time
- Match evaluator experience to speaker level
- Send reminders a few days before the meeting
- Have backup assignments for key roles
- Track who's due for specific roles
Common Questions¶
Can a member have multiple roles?¶
Club policy varies. Some allow multiple minor roles; most limit to one major role per meeting.
What if someone cancels last minute?¶
Have a backup list and be prepared to reassign quickly.
